What we collect

We may collect your name, email address, password hash, email-verification status, crawl participation and progress, optional drink or Pub Golf entries, photos and captions you upload, operational email records, optional marketing preference, and technical/security records such as IP address and browser information when you accept the Terms.

Why we use it

We use this information to create and secure accounts, provide crawl features, send necessary service and crawl communications, maintain route and album functionality, investigate abuse or technical problems, keep evidence of Terms acceptance and, where you separately opt in, send occasional marketing updates.

Our legal bases

Depending on the processing, we rely on performance of our contract with you, our legitimate interests in operating and securing the Service, compliance with legal obligations, and consent where consent is the appropriate basis (including optional marketing). You can withdraw marketing consent at any time without losing access to the Service.

Photos

Photos may contain personal data about you and other people. When a photo is uploaded, the Service uses the incoming image to create a visibly Moulsham Mile-branded copy. After the branded copy has been created successfully, the large unbranded upload is deleted from active storage and the branded copy becomes the stored master. This reduces unnecessary photo storage and means participant-facing and shared albums use the branded image. Private crawl albums are available to members of that crawl and authorised administrators. Built-in sharing can create a hard-to-guess link to an individual branded photo, and an organiser may also create a shared album link. Anyone who receives one of those links may be able to view the relevant branded content. The uploader, crawl organiser and Site Admin have in-app deletion controls. Permanent deletion removes the retained branded file under our control, although short-lived backups and copies already shared outside the Service may persist. Photo-use rights are explained separately in the Terms and do not remove data-protection or privacy rights. Who receives information

We do not sell your personal data. Information may be processed by hosting, email and technical service providers where needed to run the Service, and may be disclosed where required by law or reasonably necessary to establish, exercise or defend legal claims. Independent pubs do not automatically receive member photos or account details merely because they appear on a route.

Retention

We keep account and crawl information for as long as reasonably necessary to provide the Service, maintain security and records, resolve disputes and meet legal obligations. Terms-acceptance records may be retained as evidence of the agreement. We will delete or anonymise information when it is no longer reasonably required, subject to legal and backup requirements.

Your rights

UK data-protection law gives individuals rights that may include access, correction, erasure, restriction, objection and data portability, depending on the circumstances and legal basis. You can also complain to the UK Information Commissioner's Office.
